When Do Clients Lose Access to the System?

There are several ways clients can lose access. As a coach, the system must be configured according to your preferences for when clients should keep or lose access.

  • Clients have been ended in the system

    • Manually by you as coach

    • Automatically - If this is set up

      • passed client end date

      • No active subscription (only possible with custom app)

  • Clients are still active in the system, but are not logged into the app

    • Users in app has to re-login if inactive for more than 14 days

    • A technical issue

DEFAULT

By default, client payments are not directly linked to their client status, and you have to manually right click on a client and select END CLIENT.

The reason is that some coaches prefer to keep control themselves, for example if they continue working with clients even after the official client period has ended.

This means that unless you specifically set up rules for it, clients will remain active and have access to everything in the system, even if they haven’t paid for the current period (for example, if they missed a payment or if the system never issued an invoice).

In these cases, active clients will appear with a grey dollar sign next to their name.

Automating the process

If you are using our Beefit app:

  • Contact Support and request that your workspace be configured so clients are automatically offboarded once their client period ends (when their end date has passed).

If you are having your own custom app through us:

  • You can contact Support and request that your workspace be set up so clients are automatically ended (and lose access) if they no longer have an active subscription (for any reason).

  • If a product is set up with the payment type SUBSCRIPTION (recurring monthly payments), you can enable a setting called AUTO CANCEL on that product. This ensures that a subscription will be canceled if a client fails to pay within a set number of days. When combined with the automatic offboarding option above, this ensures that clients retain access only as long as they continue to pay.
