How do I set up payment and billing for a product in Beefit Coach?

How to configure payment type, pricing, billing interval, and optional billing features when creating or editing a product

These settings appear in the Create Product modal under Business > Products, in the payment section below the basic product fields.

Payment types in Beefit Coach

Choose one of four payment types:

  • Subscription — recurring payments on a set interval (days, months, or years). Runs until cancelled.

  • Multiple payments — a fixed series of recurring charges over a defined period (for example, 12 monthly payments). The plan ends automatically after the last payment.

  • One time payment — a single charge at the time of purchase. Typically used for physical products or services delivered immediately.

  • Time limited - One time payment — a single charge that grants the customer access for a defined period (for example, 3 months).

Checkout link note: Products with Multiple payments do not get a public checkout link. They are used when you assign a product to a customer or client manually (for example via Add Product on a client profile). The other three types support checkout links.

How to configure a subscription in Beefit Coach

  1. Go to Business.

  2. Open Products.

  3. Click Create Product or open an existing product.

  4. Under Payment type, select Subscription.

  5. Set the Price and Currency.

  6. Set the Tax as a whole percentage (for example, 25 for 25% VAT).

  7. Set Billed every and the Interval (days, months, or years).

  8. Configure any optional billing settings that apply to subscriptions (see below).

  9. Save.

How to configure multiple payments in Beefit Coach

  1. Go to Business.

  2. Open Products.

  3. Click Create Product or open an existing product.

  4. Under Payment type, select Multiple payments.

  5. Set the Price, Currency, and Tax.

  6. Under Billed at, choose when each payment is collected:

    • First of every month

    • Last of every month

    • Same day as first payment

  7. Optionally enable a Setup fee (see below).

  8. Save.

Use this type when a customer should pay in instalments over a fixed period rather than in one lump sum or on an open-ended subscription. To charge a customer, assign the product manually — there is no checkout link for this type.

How to configure a one-time payment in Beefit Coach

  1. Go to Business.

  2. Open Products.

  3. Click Create Product or open an existing product.

  4. Under Payment type, select One time payment.

  5. Set the Price, Currency, and Tax.

  6. Save.

No further billing fields are required. The customer is charged once at purchase.

How to configure a time-limited one-time payment in Beefit Coach

  1. Go to Business.

  2. Open Products.

  3. Click Create Product or open an existing product.

  4. Under Payment type, select Time limited - One time payment.

  5. Set the Price, Currency, and Tax.

  6. Under After purchase, the customer has access to the service in, set the duration (amount and unit: days, months, or years).

  7. Optionally set a start date for when access begins. If left blank, access starts at purchase.

  8. Save.

Use this when the customer pays once but only receives access for a defined window — for example, a 6-week program sold as a single payment.

Align billing with first of month (subscription only)

The first payment covers the remainder of the current month. After that, billing runs on the first of every month. Only available when the billing interval is set to months.

Enable setup fee (subscription and multiple payments)

Adds a one-time charge collected when the plan starts. Typically used for onboarding or setup costs. Note: Setup fee and trial period cannot both be active at the same time (subscription only).

Enable auto cancel (subscription only)

The subscription cancels automatically if a payment fails. You can set how many days after a failed payment the cancellation should occur.

Trial period (subscription only, custom app workspaces)

Gives customers free access for a set number of days before billing begins. You can require payment details upfront or allow a card-free trial. Note: Trial period and setup fee cannot both be active at the same time.

Ask customer for address in direct sales

Prompts the customer to enter a postal address when purchasing through the checkout link. Requires Professional platform tier.

Limit purchases

Caps how many times this product can be purchased in total across all customers. Configured in the product's additional options, not in the payment section.

Facebook Pixel

Fires a Facebook Pixel event on successful purchase for ad tracking. Requires a Pixel ID. Configured in additional product options.

Auto cancel client

When enabled, the coaching relationship is automatically ended when the subscription is cancelled. Configured in the Coaching section, not the payment section. Use with care: this affects the client's access immediately.

Things to know

  • Tax must be entered as a whole percentage. Entering 0.25 instead of 25 will produce near-zero tax on invoices.

  • Price uses the workspace's configured currency but can be set per product.

  • Minimum price rules differ by type. Subscription and Multiple payments enforce a currency-specific minimum (for example, 250 DKK). One time payment and Time limited allow a price of 0.

  • The billing interval on a subscription cannot be changed once customers have active subscriptions on it. Create a new product if you need a different interval.

  • Setup fee and trial period are mutually exclusive on subscriptions.

  • Multiple payments products have no checkout link. Coaches assign them to customers manually.

  • One time payment and Multiple payments require the Professional platform tier.

Troubleshooting

Product won't save after configuring payment in Beefit Coach

All required fields must be filled: product name, internal name, price, tax rate, and a fully selected payment type. For Subscription, confirm Billed every and interval are set. For Multiple payments, confirm Billed at is selected. For Time limited, confirm the access duration is set. Click Save once to reveal any validation errors.

Coach cannot see One time payment or Multiple payments in Beefit Coach

These types require the Professional platform tier. If the workspace is on a lower tier, only Subscription and Time limited - One time payment are available.

This is expected. Multiple payments products are not sold via public checkout links. The coach must assign the product to the customer manually from the client or customer profile.

Wrong tax rate on invoices in Beefit Coach

Edit the product and correct the tax rate. Past invoices will not be updated automatically. Contact Beefit support if corrections to past invoices are needed.

Customer was charged immediately instead of on the first of the month in Beefit Coach

The Align billing with first of month toggle was not enabled at the time of purchase. This setting only applies to new subscriptions created after it is enabled, and only when the billing interval is months.

Trial period option is not available in Beefit Coach

Trial period is only available for Subscription products on workspaces with a custom app. If setup fee is enabled, disable it first: setup fee and trial period cannot both be active.

Customer access ended but they expected ongoing access in Beefit Coach

Check the payment type. Time limited - One time payment grants access only for the configured duration. One time payment does not automatically set an access end date. If access ended unexpectedly, check the Client duration setting in the Coaching section or whether the subscription was cancelled.
